Automated HR document generation on a global level

In human resources, the BMW Group relies on the automated creation of HR documents with INVARIS. The aim of the project was to optimize and specifically expand the BMW Group's HR IT landscape in England.

The focus was on the introduction of a system for the efficient creation of document and contract templates and their central administration. At the same time, the solution should be quickly integrated into existing ESS applications and simply rolled out to other BMW branches worldwide.

initial situation

The solution had to meet the different national requirements of the individual country organizations and at the same time avoid time-consuming and resource-intensive manual processes. In addition, it was necessary to map diverse and complex document templates to cover different requirement profiles in the HR sector.

Other key requirements were:

  • ensuring traceability and audit security
  • consistent compliance with corporate identity
  • integration with SAP HCM including authorization system
  • a simple connection of interfaces to the existing system landscape

Implementation and international roll-out

The project was implemented in two stages and completed within eight months. After training in HR, the definition of design guidelines and integration into SAP HCM, the solution was put into production.

This was followed by a gradual international roll-out to other countries, including Germany, Brazil, China, Japan, India, Mexico, the UK and the USA.

Automatically documented approval processes ensure audit-proof traceability of the entire creation and processing process. At the same time, the efficient document design enables the creation of more than 500,000 documents per year.
